How Vision Asset Group collects, uses, discloses, stores and protects your personal information.

Vision Asset Group Pty Ltd (ABN 50 638 846 661), trading as "Vision Asset Group" ("we", "us", "our", "Vision Asset"), is committed to protecting the privacy of individuals we deal with. This Privacy Policy describes how we collect, hold, use, disclose and protect personal information in accordance with the Privacy Act 1988 (Cth) (the "Privacy Act") and the thirteen Australian Privacy Principles ("APPs") contained in Schedule 1 of that Act. As a real estate agency operating in New South Wales, we also comply with the Property and Stock Agents Act 2002 (NSW) and Regulations made under that Act, together with the Residential Tenancies Act 2010 (NSW) where applicable.

3. Personal Information We Collect
The personal information we collect depends on the nature of your interaction with us. It may include:
- Identity and contact details: name, date of birth, residential and postal address, email address, phone numbers, photo identification (for tenancy applications and verification of identity under Anti-Money Laundering / Counter Terrorism Financing law).
- Financial and employment information (collected from prospective tenants and, where required, vendors and purchasers): employment status, employer details, income range, bank statements or payslips, rental ledger history, references.
- Property information: address, ownership status, tenancy status, photographs, floor plans, valuation estimates, service history, strata documents.
- Sensitive information only when reasonably necessary to provide our services and with your consent, for example government identifiers (driver licence number, Medicare number) for tenancy verification.
- Marketing preferences and enquiry history.
- Technical information: IP address, device type, browser type, pages viewed, referring URL, approximate location (city level) — collected automatically when you visit this site.
4. How We Collect Personal Information
We collect personal information:
- directly from you when you submit a form, request an appraisal, apply for a property, attend an inspection, or otherwise contact us;
- from your authorised representative (for example a conveyancer, accountant, mortgage broker, family member acting under power of attorney);
- from public sources (Land Registry NSW, ASIC, court records, RP Data / CoreLogic, real estate listing portals);
- from tenancy databases (see clause 9) and credit reporting bodies, with your consent;
- from referees you nominate; and
- automatically through our website, by means of cookies and analytics tools described in clause 8.
Where it is reasonable and practicable, we collect personal information directly from you. If we collect information about you from a third party we will, where required by APP 5, take reasonable steps to notify you of the collection.
5. Why We Collect, Hold, Use and Disclose Personal Information
We collect, hold, use and disclose personal information to:
- provide real estate sales, leasing, property management and project marketing services;
- market properties to potential buyers, tenants and investors;
- arrange inspections, prepare contracts of sale, residential tenancy agreements and trust account records;
- assess tenancy applications, including identity, income and rental-history verification;
- communicate with you about properties of interest, market updates and other content you have asked for;
- manage rented properties, including coordinating repairs, inspections and rent collection;
- comply with our obligations under the Property and Stock Agents Act 2002 (NSW), Residential Tenancies Act 2010 (NSW), taxation laws and AML/CTF laws; and
- conduct internal record-keeping, training and continuous improvement of our services.
6. Disclosure to Third Parties
We may disclose personal information to the following recipients, but only to the extent reasonably necessary for the purposes set out in clause 5:
- property owners and landlords (where you are a prospective tenant);
- prospective tenants and purchasers (where you are a property owner);
- tenancy default databases (such as TICA, NTD or Equifax TRA) — see clause 9;
- credit reporting bodies, with your express consent;
- conveyancers, solicitors, accountants and mortgage brokers nominated by you;
- government agencies and regulators where required by law (for example NSW Fair Trading, Australian Taxation Office, AUSTRAC);
- contractors and tradespeople engaged to carry out repairs or maintenance;
- insurance providers (landlord, building or contents insurance);
- our IT and software providers, including hosting and database providers (see clause 10 on overseas disclosure);
- professional advisers (auditors, lawyers); and
- a purchaser or successor entity in the event of a sale of all or part of our business.
We do not sell, trade, or rent your personal information to third parties for marketing purposes.
7. Direct Marketing
We may send you direct marketing communications (about properties, market updates, events) where you have provided consent or where it is otherwise permitted by the Privacy Act and the Spam Act 2003 (Cth). Every electronic marketing message will identify Vision Asset Group as the sender and contain an unsubscribe mechanism. You may opt out at any time by clicking "unsubscribe" in any marketing email or by contacting us using the details in clause 17.
8. Cookies, Analytics and Online Tracking
Our website uses cookies and similar technologies to support essential functionality, remember your preferences, and measure traffic. We may use third-party analytics providers (such as Google Analytics) and advertising platforms (such as Meta / Facebook Pixel) which set their own cookies. These tools may collect information about your device and browsing behaviour. You can disable cookies in your browser settings, but some functionality on the site may be limited as a result.
9. Tenancy Databases
If you submit a residential tenancy application to us, we may use a tenancy default database (for example TICA, NTD or Equifax) to check whether you have a listing on it. If you are listed, we will inform you in writing within seven days, identifying the database, the reason for the listing, and how you may make a request to access or correct the information. Vision Asset Group complies with the listing requirements set out in the Residential Tenancies Act 2010 (NSW).
10. Overseas Disclosure of Personal Information
Our website and database are hosted on Supabase (a service of Supabase, Inc.) on infrastructure located in Tokyo, Japan, and content delivery is provided by Vercel Inc. (United States). When you submit information through our site, the data is transmitted to and stored on these overseas servers. We take reasonable steps to ensure these providers handle your information consistently with the APPs. Some communications tools we use (for example Google services and Meta services) may also process information in the United States and other countries.
11. Data Security
We take reasonable steps to protect personal information from misuse, interference and loss, and from unauthorised access, modification or disclosure. These steps include encrypted transport (HTTPS/TLS), encrypted storage at rest, role-based access controls (administrator / manager / staff), Row Level Security policies in our database, periodic security reviews, and staff training. However, no method of electronic transmission or storage is completely secure, and we cannot guarantee absolute security.
12. Notifiable Data Breaches
We comply with the Notifiable Data Breaches scheme under Part IIIC of the Privacy Act. If we suffer a data breach that is likely to result in serious harm to individuals whose personal information is involved, we will notify the affected individuals and the Office of the Australian Information Commissioner (OAIC) as soon as practicable.
13. Data Retention
We retain personal information for as long as it is reasonably required for the purposes set out in this Policy and to comply with our legal obligations. Real estate trust records, tenancy records and tax records are generally retained for at least seven years from the end of the relevant transaction, as required by the Property and Stock Agents Act 2002 (NSW) and applicable taxation laws. When information is no longer required, we will destroy or de-identify it in a secure manner.
14. Accessing and Correcting Your Information
Under APP 12 and APP 13 you have the right to request access to, and correction of, the personal information we hold about you. To make a request, contact our Privacy Officer using the details in clause 17. We will respond within a reasonable period (generally within 30 days). In limited circumstances we may decline access or correction (for example where access would have an unreasonable impact on the privacy of others). If we decline, we will provide you with written reasons and information about complaint options.
15. Children
Our services are not directed at individuals under 16 years of age, and we do not knowingly collect personal information from anyone under that age without parental or guardian consent.
16. Changes to this Policy
We may update this Policy from time to time to reflect changes in our practices or legal obligations. The current version is always available on this page with the effective date shown at the top. Significant changes will be brought to your attention through our website or other communication channels.
